Docupile uses a configurable multi-level folder hierarchy — main folders, subfolders, and sub-subfolders — structured around your business model: by department, client, project, or case number. Pre-built folder templates speed up setup for common folder types, and each folder carries its own metadata fields, upload limits, numbering schemes, and access rules.
Docupile offers three modes. Simple search finds files by keyword instantly. Advanced search adds date range filters and lets you scope results to important, locked, or closed files. Boolean Logic search uses AND/OR operators to combine multiple conditions — for example, finding every file containing both "INV" and "2023." You can also search by metadata values, making retrieval reliable even without knowing the exact file name.
Yes. Docupile includes a built-in document viewer that lets authorized users highlight text, add typed annotations, draw freehand markups, and insert images — all without downloading the file or leaving the platform. Edits are saved as new document versions, so the original is always preserved and reviewable.
Yes. Send any document for e-signature directly from Docupile. Place signature and date fields, create a signing template, and email the invitation to the recipient. They review and sign electronically, and the completed, signed version is automatically saved as a new file version in Docupile — fully traceable.
Yes. Docupile's workflow engine lets you define triggers — such as a document upload to a specific folder — assign reviewers by name, role, or group, and create separate approved and denied paths. Each path can automatically move documents to the right destination folder and send email or in-system notifications. No code required.
Yes. Administrators can create retention policies with configurable start events and trigger types, assign them to specific files or folders, set reminder notifications ahead of key dates, and record a reason when applying a retention action. Yes. Docupile's Share File feature creates controlled external access: add the recipient's email to an access list, set a link expiration time, and add a mobile number for OTP (one-time password) verification. When the recipient opens the shared link, they enter an OTP to confirm identity before viewing the document. Sensitive files never travel as unprotected email attachments.
Security & Access Control

Access in Docupile is layered for fine-grained control. User roles define what actions a person can perform. Group policies apply shared rules to entire teams. Security classes determine the sensitivity level of documents a user can access. Folder visibility rules control exactly which folders each role or group can see. Direct per-user permissions can be added on top for individual exceptions. Each person sees and acts on only what their role requires.
Yes. Administrators can enable two-factor authentication for individual user accounts from the Users management area. Once enabled, the user must complete a second verification step at login — an additional security layer on top of the standard password.
Yes. Docupile maintains a complete audit log for every file and folder action — who did what, when, and from which account. Administrators can filter the system audit log by date, user, event type, and subtype, and run a Document Audit Trail report for per-file histories. Audit data exports as Excel, CSV, or PDF.
Administrators can immediately lock or deactivate a user account from the Users area. Locking restricts access while keeping the account in the system; deactivating disables it entirely. Role and group assignments update in real time — no delay, no IT dependency.
Yes. Administrators configure one organization-wide password policy: expiration period, reminder days before expiry, minimum and maximum length, required character types (numbers, uppercase, lowercase), allowed special characters, and the maximum failed login attempts before lockout. All accounts follow the same policy automatically.
Yes. Both individual files and folders can be locked. Locking a file restricts changes based on user permissions. Locking a folder restricts activity on all content within it — users who attempt to act on locked content receive a clear restriction message. Locking is reversible by any authorized user.

The Docupile Outlook Add-in lets you push email content into Docupile directly from your inbox — no switching apps. Upload just the attachments, or the entire email conversation as an .eml file. When uploading a full email, Docupile automatically creates or uses a folder named after the sender or client, keeping correspondence organized by contact without any manual filing.
Yes. When uploading a file, select Google Drive or Dropbox as the source instead of your local device. Authorize your account, choose the file, and Docupile transfers it directly to the destination folder you've selected — no manual downloading and re-uploading required.

Yes. The Email File option sends a document as an attachment directly from within Docupile — add a recipient, subject, and message, then send.
